Annual General Meeting

Hi everyone,

The Clubs Annual General Meeting (AGM) will be held at the Nesbitt Park clubhouse on Friday 6th November at 7pm. At this meeting the Executive/Committee for 2010 will be elected.

The following letter was sent to all people on our mailing list news@ksjfc.org regarding the meeting:

Hi all


I haven’t received any feedback on the proposal for the new Executive structure, and despite it being good in theory I suppose it is matter of whether or not it suits the needs and requirements of KSFC for the 2010 season and beyond. The implementation of the new structure will also strongly depend on whether parents within our Club are able to commit themselves to being on the Executive in a role that best suits their ability and interest plus meets their time constraints.


The Annual General Meeting (AGM) is scheduled for this Friday 6 November 2009 from 7pm at Nesbitt Park Clubhouse, with the meeting lasting approximately one (1) hour and it will be followed by some light refreshments. This is the forum for electing the new committee, and with this date fast approaching I am sending this email to raise awareness of the importance of this date for the future of KSFC and the need for those interested people to make themselves available to attend if possible.


I have attached the proposed committee structure and the related position descriptions for those people interested in being involved for the first time, which gives you an indication of what the position will entail. I hope the positions don’t look too daunting, but from my experience on the KSFC Executive I can assure you that the committee has always provided training and ongoing support to any new Executive member to ensure that their volunteer experience remains positive and enjoyable.


Alternatively, for anyone that is interested in being a part of the 2010 committee that can’t attend on 06 November 2009 it will be necessary to forward an expression of interest to the Club’s Secretary (Barry Bourke) so that your successful nomination for a committee position can be ratified at the AGM. This may be sent by mail or email to Barry, and it would be preferred if you nominate which position you are interested in nominating for.


I wish to confirm that I will not be nominating for any positions in the 2010 season due to study commitments. I am very disappointed about this because of the enjoyment and satisfaction I have obtained during my involvement with KSFC, plus the knowledge that there are some exciting projects that are in place which will have the potential to significantly benefit the Club’s ongoing development. Regrettably I won’t be able to attend the AGM due to being absent on a pre-planned family holiday, however I will formally acknowledge my position at the AGM through a letter.


I wish to take this opportunity to firstly thank everyone involved in committees during my tenure for their ongoing support and the professionalism that I would normally associate with paid employment. I immensely enjoyed working on the Executive – it was a life changing experience for me. Secondly, I would like to congratulate the new parents who take up the challenge of committee work for KSFC. The way our Club operates is a credit to the people involved and I’m sure the new committee will continue to provide the leadership and support required to maintain the future growth that our community is currently experiencing.


I will endeavour to play a part in helping the Club in years to come and I look forward to my involvement with KSFC in the 2010 season as a over 35 player.

Grand Finalists

Congratulations to all of the seven teams (10D, 11H, 12C Girls, 15C, 16B Girls, 18A & All Age O) that participated in the grand finals over the weekend.

There were some exciting games played with four of the seven teams finishing with a penalty shoot out. I am sure that the teams enjoyed their finals experience and will learn a great deal towards achieving similar results in the 2010 season.

Well done to the U18A team who ended up being undefeated Minor & Major premiers.

We look forward to celebrating the achievements of all teams at the Club’s presentation day on Sunday 27 September 2009.

On behalf of the Executive at Kotara South FC I would like to congratulate all the teams for their effort during this year’s Finals Series.

KSJFC Presentation Day 2009

An invitation is extended to all the 2009 season Small Sided Football and competition team players and their families to attend the Kotara South Football Club Presentation Day.

DATE: Sunday 27 September, 2009

LOCATION: Nesbitt Park

The presentation day has been divided into two (2) parts for the Small Sided Football teams (U6 – U9) and the competition teams (U10 – U18). It is suggested that you look at the timetable below as a guide to the days proceedings.

Entertainment for the day is a ‘carnival’ theme and includes face painting, clowns, putt putt golf, an obstacle course, penalty shoot out, coits, snocone & fairy floss, the coffee man, raffle prizes, fun activities and stalls.

Upon arrival please contact your coach, manager or team representative to collect extra gifts.

Please feel free to bring along your own picnic if you desire, and make a day of it with the kids! The canteen will have limited food available for purchase on the day and will close while the presentations take place.

NOTE: See Plan A below for a timetable of the day OR in case of inclement weather please note the adjusted timetable.

The Executive would like to thank everyone for another great season and we hope to see you back again next year.

Finals Days at Nesbitt Park

Kotara South FC have been advised that we will be hosting Finals games on Saturday 5th and Sunday 6th September 2009.

There will be 5 matches on Saturday and 4 matches on Sunday. The schedule for the days is available here and it looks like there should be some good quality football being played.

This is an opportunity for the Club to showcase our great park and facilities whilst raising valuable money towards the canteen and lighting projects.

We are required to supply a couple of duty officers for each game and we will need some people to assist with running the canteen and BBQ.

If you are interested and able to volunteer some time to assist on these dates we would appreciate your support. If you can spare some time could you please contact Jason (ph: 0431012187) or Barry (ph: 0413128456).

Kotara South FC September meeting

Hi all,

The September meeting of the Kotara South Football Club will be held this Friday 28 August 2009 from 7pm at Nesbitt Park Clubhouse. Apart from the Annual General Meeting which should be held in November this year this is the Clubs last meeting for the 2009 season. Returning equipment for 2009

Dear Coach and Manager,

The 2009 season is quickly drawing to a close, although we have several competition teams that will be featuring in the 2009 Finals Series.

At the completion of this season the collection of all equipment used by Kotara South teams enables our Club to protect the Club’s resources during the off season and identify what equipment is required for the 2010 season.

It would greatly assist the Club if you could return all of the equipment allocated to your team on the following days.

Firstly, at Nesbitt Park between 5-6pm on Monday 24/08/09. Additionally you can return it at Nesbitt Park on Saturday 5th September and Sunday 6th September 2009 when the Kotara South Football Club are hosting Finals games.

When dropping off the equipment we request that you speak to Jason Holt, Geoff Mellon or myself so that your teams equipment can be marked as being returned.

To the teams that require their equipment beyond this time it would be appreciated if you could return the gear at the Club’s presentation day on 27th September 2009.

The Executive would also like to take this opportunity to thank you for your contribution as coach/manager of a team at Kotara South FC in the 2009 season. We appreciate the time and effort that you have put in to make the football season enjoyable and successful for the kids whilst providing a valuable service to the Club.

Feedback on the executive structure for the Kotara South FC & expressions of interest

Hi all,

At the August monthly meeting held on Friday 31/07/09 we discussed an important issue regarding volunteers and the structure of Executive (committee) of the Kotara South FC for the 2010 season and beyond.

It was discussed that in terms of the size of Kotara South FC we have expanded considerably over the last three (3) years, however we have not had a change in the number of volunteers and the roles that are required to manage the Club effectively. This has been very noticeable since the inception of Small Sided Football and this year with the Club using 2 fields on to cater for the amount of teams, which has placed a very large burden of the small and dedicated group of volunteers at our Club.

A new structure of the committee was discussed at the meeting with a view to increasing the size of the committee. A copy of the proposed structure can be found here in pdf format.

It is proposed that we have smaller roles on the committee that don’t place too large a burden on people’s time, whilst still allowing people to assist the Club to operate more effectively. We are circulating this information to provide all members and their families with an opportunity to express their views about the potential changes and to express an interest in future positions that you may feel you could contribute towards and assist the Club’s growth.

It was discussed and agreed that this change is required to deal with the current amount of players registered. It was also discussed that a failure to recruit adequate assistance on the committee for the 2010 season and beyond may require a re-assessment of the amount of players that we register at Kotara South FC in future seasons, which gives you an indication of the seriousness of this issue.

The committee are working very hard towards improving the facilities and resources at the Club, but inevitably it is the support of parents within our Club and our community that will help to provide our kids with a local Club that we are all proud of and enjoy playing for.

Your feedback on the new model would be greatly appreciated, and if you are interested in helping out on the committee we would love to hear from you.

From my experience with the Club I can say that volunteering has been a very rewarding experience and it has provided not only an opportunity to spend quality time with my children but also has lead to developing long lasting friendships with some quality individuals.

Reminder: "Smoke Free Grounds" Port Stephens Council

We have received the following information from the Newcastle Football Limited:

The following was announced in the Examiner (Port Stephens), so all Clubs should make their members aware of the situation and be prepared if the Council applies any fines to individuals.

Smoke – Free Sporting fields

From July 1, all sporting fields in Port Stephens will be smoke free.

Council adopted a Smoke Free Outdoor Policy in December 2008 for children’s playgrounds, alfresco dining areas and beaches, as well as parks and reserves. The smoking ban has been introduced in stages, starting with children’s playgrounds and from July sporting fields will be added to the list.

All five sports councils in Port Stephens have endorsed the smoke free policy.

No smoking signs will be placed around sporting fields commencing this July.

Coaches & Managers Night ....

It seems that the season is slowly getting back on track after some teams managed to play football on both days over the weekend. We still have some rescheduled games to play, so hopefully we’ll have a dream run to finish the season.

Each year the Kotara South Football Club holds a coach and managers night to acknowledge and thank everyone for their contribution to the Club. This year we are holding the event this Friday night (03/07/09) at Nesbitt Park Clubhouse from 6.30pm.

The Club will be supplying some drinks and light refreshments and there will be a television for those that would like to watch the football.

It would be great to see a coach and manager from every team, so spread the word to the relevant people and we’ll see you on Friday.

The Executive of the Kotara South Football Club are constantly looking for ways to improve the football experience for our members and their families. A new system that the Club is currently introducing is an email mailing list as an additional form of communication between the Executive and the players and their families. We believe that such a system will provide an effective and environmentally friendly method of conveying information and news in a more timely manner.

The initial mailing list has been created from all the email addresses gathered during the registration period with the Club. Please note that we understand that all personal information that has been provided to our Club is private and confidential and we have systems in place to protect this data.

An initial email has been sent to all those whose email addresses have been provided. If you didn't receive this email and you would like to be included in this mailing list please go to lists.ksjfc.org where you can subscribe.
